Privacy Policy
This policy explains what Trofeo Motoring Society collects when you use this site, why, and what you can do about it. It covers this website only.
Who we are
This site is operated by Trofeo Karting, a company registered in Colorado. Trofeo Motoring Society is the name we use for this event; Trofeo Karting is the company behind it, and the one that decides how the information described here is used.
You can reach us at info@trofeomotoringsociety.com about anything on this page, including a request to see a copy of your data or to have it deleted.
What you give us
The registration form is the only place this site asks you for information. It collects:
- Your name
- Your email address
- Your mobile number
- A description of the vehicle you would bring
- Whether you would bring a passenger
We ask for these so we can contact you about the run and judge whether it suits you and your car. There is no account to create, and the site takes no payment, so no card or bank details are ever collected here.
Why we may keep it
We use these details to contact you about the Heritage Run, to answer your questions, and to count how many drivers have registered — the run only goes ahead once enough have. We do not sell your information, and we do not add you to an unrelated marketing list.
Where the law requires a basis for this, it is your consent, given by submitting the form, together with our legitimate interest in responding to an enquiry you started.
Submitting twice
Your email address identifies your registration. Registering again with the same address updates the details we already hold rather than creating a second record.
Who else processes it
We use a small number of service providers. They process data on our instructions, and each has its own privacy terms:
Analytics and advertising
We use the tools below to understand how this page is used and whether our advertising is working. They run by default. You can switch them off at any time using the privacy link in the footer, and once you do they are not loaded at all on future visits — not merely muted.
- PostHog
- Measures how the site is used and can record a replay of your session — your clicks, scrolling and typing on this site — so we can see where the registration form is confusing. If you register, your email address is used as the identifier so the visit and the registration line up.
- Google Analytics 4
- Reports how visitors arrive and which pages they see, and reports registrations back to Google Ads as a conversion.
- Meta Pixel
- Tells Meta when a registration happens so our Instagram and Facebook advertising can be aimed at people more like you. This shares information with Meta, which may match it to a Meta account.
One record of a registration is made regardless of this choice: when your registration is saved, we log that it happened so we can count drivers and judge whether our advertising is working. If you have not accepted analytics, that record is not linked to your browsing.
Cookies and similar storage
The tools above set their own cookies and browser storage, which they use to recognise a returning browser.
If you switch measurement off, one small item is stored in your browser to remember that choice, so it survives between visits. It contains only that preference and is never sent to an advertiser.
You can change your mind at any time using the privacy link in the footer, or by clearing this site's data in your browser.
How long we keep it
We keep registrations while the Heritage Run is being planned and for a reasonable period afterwards, so we can contact you about a future run. Ask us to delete yours and we will, without needing a reason.
Analytics providers apply their own retention periods, described in their policies linked above.
Your rights
Wherever you live, you can ask us to:
- Tell you what we hold about you
- Correct anything that is wrong
- Delete it
- Send you a copy
- Stop using it for a particular purpose
- Withdraw consent you previously gave, including for analytics
Write to info@trofeomotoringsociety.com and we will action it. Depending on where you live you may also have the right to complain to a data protection regulator.
Where your data goes
Our providers are based in, or store data in, the United States. If you are in the UK or EEA, that means your information may be transferred outside your country under the safeguards those providers operate.
Children
This site is aimed at adults and is not intended for children. We do not knowingly collect information from anyone under 16.
Changes
We will update this page if what we collect or who processes it changes, and the date at the top will change with it. This version is dated 19 August 2026.
